Practice Manager- Animal Hospital of Meadville

A Practice Manager oversees the business and operational aspects of the veterinary practice. This role requires a blend of business and knowledge of the veterinary field to manage staff, oversee operations and coordinate with management and veterinarian staff to achieve practice goals.

Ideal Candidate: Our ideal Practice Manager provides smooth daily operation of the veterinary clinic by overseeing administrative tasks, staff management, client relations and financial oversight allowing veterinarians to focus on patient care. The confident Practice Manager will lead and develop team members to ensure practice protocols and skills. The Practice Manager will collaborate with ownership, upper management and medical leadership to meet business and medical objectives. The Practice Manager encourages a positive culture in an everchanging daily routine that is physically, emotionally, and mentally challenging. The Practice Manager needs to be a strong leader, effective communicator, passionate about veterinary medicine, organized, and have a commitment to excellence.

Major Goals:

  • Oversee the day-to-day operations of the clinic to ensure smooth and efficient activities including scheduling, patient care, billing, and client retention
  • Recruit, hire, train, mentor and supervise staff with skill development and performance reviews for clinic growth, best medical standards and client retention
  • Assist the clinic’s profitability by effective cost budgeting, goal achievement and efficient inventory control
  • Provide customer service and be able to manage client complaints, ensuring professionalism and timely responses
  • Be a dedicated part of the management team to provide gold standard care for patients while fostering a supportive and inclusive culture for our teams
  • Interact with veterinary vendors and suppliers to ensure cost effective inventory along with providing best medical care options for patients to our medical team
  • Attend management and staff meetings to ensure effective communication of protocols and procedures
  • Process inventory receipts to practice management software timely and efficiently to ensure proper inventory values
  • Treat every client, patient and fellow staff as family
  • Represent a positive and professional image of Pine Hollow in the clinics and in our communities 
  • Perform regular audits of financials to ensure accuracy and prevent financial loss

Pine Hollow Veterinary Services is a locally and privately-owned group of rapidly growing veterinary practices that includes Albion Animal Center and Animal Hospital of Meadville located in Northwestern Pennsylvania and Western Reserve Animal Clinic and Animal Hospital of Orwell located in Northeastern Ohio. We have a dedicated and tenured team of veterinarians, registered/licensed/certified technicians, assistants, and customer service representatives who we know will make you feel right at home.

The clinics are open Monday through Friday and one Saturday a month for most of the practices.  We are focused on wellness preventative care and providing the best medical standards for our patients. We provide emergency care only during normal business hours.  As well as working in a progressive practice, we have a team atmosphere that is fun, collaborative, and feels appreciated at the end of the day.  Our Pine Hollow culture is important.

Position Overview:

  • Full-Time (32 hours minimum) or Part-Time
  • Work week is Monday – Friday for Practice Manager, clinic is open one Saturday per month

Essential Skills and Knowledge:

  • Ability to manage and maintain an efficient veterinary team
  • Possess strong verbal and written communication skills – with staff, management and clients.
  • Knowledge of the English language including the meaning and spelling of words and math skills for handling financial matters
  • Understand how to develop, maintain and manage a team at a fast-paced veterinary practice
  • Possess strong organizational, leadership and customer service skills that are crucial for managing administrative tasks and staff effectively
  • Understand veterinary practice policies and procedures
  • Be a critical and sensible thinker – be able to problem solve
  • Posses strong computer skills including the ability to use different formats of technology
  • Be able to bring the hometown feel to the clinics by providing excellent customer and patient service
  • Be community oriented as a person and Pine Hollow employee
  • Posses strong work ethic and positive work environment attitude
  • Ability to deal with clients and employees in a manner that shows sensitivity, tact, respect and professionalism.
  • Be honest and admit mistakes and learn from those personally and assist other staff from making the same errors
  • Be familiar with common veterinary terminology, supplies, medications, and operations
  • Ability to remain calm and not let emotions overwhelm attitude or performance
  • Ability to make each workday enjoyable for yourself and your team.
  • Keep focused on the tasks at hand and ability to assist fellow staff members in the moment
  • Promote the clinic on social media and encourage staff, therefore, to educate clients about patient care and clinic activities
  • Develop internal clinic marketing strategies to attract and retain clients and promote staff with client education practices

Education and Experience:

  • Prior veterinary management experience or leadership required
  • A level of higher education is encouraged but not required

Responsibilities:

  • Utilize practice management software, Google and Microsoft programs
  • Manage staff onboarding, schedules, and human resource tasks along with staff termination responsibilities
  • Oversee patient schedules to ensure efficiency
  • Provide the highest quality of care for patients while being mindful of client’s financial obligations
  • Handle all client complaints calmly and professionally and know the proper procedures to follow to ensure a positive clinic image is maintained
  • Develop, implement and maintain practice policies, and protocols to ensure consistent and best medical practices and staff development and retention
  • Oversee supply ordering, future equipment and technology opportunities and that all facilities and equipment are maintained.
  • Encourage positive staff morale and culture
  • Follow through with all issues that need to be completed

  • Attend staff meetings for the clinic and organization throughout the year
  • Attend sponsored lunches or meetings that educate staff on veterinary products

  • Be timely - to work and in matters throughout the workday
  • Work in an effective manner with all veterinary staff
